Job Description:

The Nursing Program Administrative Assistant (NPAA) reports to the Administrative Coordinators and supports the Nursing Program in meeting the needs of the nursing students, faculty, Institution and external partners by assisting in initiating, establishing and maintaining clinical sites, preparing clinical contracts and all related documents and maintaining ongoing communicating with all stakeholders. Assists with placement, confirmation, communication and monitoring students in clinical and lab sites including overseeing all student documentation related to orientation, health clearance, completion of mandatory orientation modules, and health clearance. In collaboration with faculty, ensure all agencies provide the appropriate experiences for students to achieve course, program, and NY State Ed and accreditation outcomes.

Nursing Program Administrative Assistant (NPAA) assists Coordinators to identify, track and record requirements at each clinical placement site (such as orientation mandatories including completion of modules, pre- and post-tests) and communicate these clinical requirements to instructor and student groups in a timely manner. Additional responsibilities include those involving database management and records management, communicating effectively to meet the needs of faculty and students, placing service tickets and work orders, assisting with recertification reports- including appendices and virtual resources- and as needed with annual NYSED and AACN reports.

The successful candidate will have:

  • Professional demeanor and behavior.

  • Strong interpersonal skills.

  • Ability to work with others, as well as being self-directed to make decisions in collaboration with faculty and staff and external stakeholders.

  • Proficiency in Microsoft Office Products including Excel Spreadsheets, google Docs and ability to work independently to create and manage database information with limited errors.

  • Able to prepare professional quality correspondence and department documents for reports both internal and external.

  • Experience with monitoring budget and supply ordering.

  • Able to demonstrate initiative, manage issues professionally, and independent problem solving.

  • Knowledge of academic environment and supervision experience helpful.

  • Ability to develop and maintain excellent working relationships internally and externally.

  • Communicate and demonstrate professional behavior with faculty, students, RSC personnel, external agencies and potential students, visitors etc. at all times.

  • Exhibit initiative in consultation with Administrative Coordinators to problem solve situations proactively and seeks helps when needed from appropriate sources.

The estimated wage range is $16.00 to $17.00 per hour for 37.5 hours per week for 52 weeks.

*There is a possibility of this role being two part-time positions at $16.00 to $17.00 per hour for under 20 hours per week for 52 weeks, but not eligible for benefits.

Requirements:

  • Associate Degree or comparable training and experience

  • Strong verbal and written communication skills

  • Skills In Microsoft Suite including Excel

  • Previous office experience in a fast-paced setting

  • Ability to organize and complete projects with supervision are essential
