Summary and Purpose of Position:

Liberty Partnerships, a comprehensive academic excellence program funded by the New York State Education Department, was established in 1988 to address the significant school dropout rate among New York State's youth. LPP engages colleges and universities, school districts, parents, students, community organizations, business and industry, and local government as stakeholders. The mission of LPP is to ensure that program participants graduate from high school and enter post-secondary education and/or the workforce as highly competent young adults. Monroe Community College's LPP provides academic and personal support services to at-risk Rochester City School District students in grades 7-12.

Position Description: Part-Time Secretary, Liberty Partnerships Program

The MCC Liberty Partnerships Program Secretary is responsible for gathering data from all LPP staff, maintaining and updating in-house Microsoft Access database, entering data into the state Microsoft Access database, producing records and reports mandated by the funder, preparing correspondence, preparing meeting agendas and minutes, and handling other relevant projects as assigned by the Director.

Primary Functions:

  • Collect, enter and maintain statistical data to produce reports as required by RCSD, MCC, Program Director, and New York State Education Department.

  • Maintain and develop Access database for MCC-LPP program.

  • Maintain updated contact information and contact/participation hours for all LPP students.

  • Log all student activity hours.

  • Process requisitions for LPP staff travel, conferences and purchased services.

  • Take minutes at LPP Advisory Board meetings.

  • Prepare program correspondence.

  • Coordinate reservations and payments for LPP activities and field trips

  • Coordinate student/parent mailings and maintain data on mailings.

  • Reserve space for LPP functions including classrooms and workshop space.

  • File confidential paperwork.

  • Take inventory and replenish all office supplies.

Secondary Functions:

  • Performs additional duties as assigned by the Director of LPP.

    Job Requirements:

Required Qualifications:

  • Earned Associate's Degree from a regionally accredited higher education institution.

  • Two years of full-time experience in office procedures and database management.

  • Ability to complete assignments with minimal direct supervision.

  • Ability to multi-task with great attention to detail.

  • Proficiency in MS Office Suite (Word, Excel, Access.)

  • Excellent organizational and interpersonal skills.

  • Ability to work collaboratively as a member of a team.

  • Evidence of proficiency with technology.

  • Commitment to service to the institution.

  • Commitment to professional growth.

Preferred Qualifications:

  • Five years of full-time experience in office procedures and database management.

    Additional Information:

MCC is currently testing a Pilot Telecommuting Program that runs from October 25th, 2021 to June 30th, 2023. Under the pilot program, this position may be eligible for remote work up to 5 days per pay period pending departmental need and leadership approval. The pilot program may be extended or terminated at any time at the College's discretion.
