Macaulay Honors College at CUNY is inviting applications and nominations for the position of Confidential Executive Associate to the Dean of the College. This position will support the Dean in her effort to help lead the college through a critical time of change as we pursue external resources to meet students' needs, elevate the profile of the College, and carry out the College and University's strategic priorities. As crucial support on the college’s senior leadership team, the Confidential Executive Associate works collaboratively to champion the academic mission of the college and build community across the enterprise. The Executive Associate also provides high-level support to the Dean in their role as the principal administrative officer in the Dean’s Office.

The successful candidate will have a deep understanding of the landscape of public higher education. They are entrepreneurial, innovative, and passionate about the role an executive associate plays in the success of the college’s leader. They collaborate effectively, have a strong record of working across successful teams, and actively foster an atmosphere in which diversity, equity, inclusion, and belonging thrive.

This is an excluded position.

Duties and responsibilities include but are not limited to:

  • Serve as the confidential executive associate to the Dean of the College, essentially as the “right hand.”

  • Prioritize, supervise, and coordinate the operations of the Dean's Office, ensuring a highly professional and operationally efficient office environment.

  • Manage the board relationship, coordinating the material for board meetings, and communications with board members regarding all activities. Work in concert with the VP of Advancement.

  • Prepare timely and accurate internal and external communications, correspondence, and reports.

  • Develop responses to internal and external inquiries; make appropriate referrals and ensure timely follow up.

  • Serve as the ambassador for the Dean for all constituents, including CUNY leadership, donors, faculty, board members, and administration.

  • Ensure the Dean is prepared for all meetings and activities related to her functions, managing communications between the Dean and internal and external constituents, to ensure efficiency and clarity.

  • Work with the Dean on varied initiatives as it relates to the strategic initiatives and priority stakeholders.

  • Collaborate with the Dean’s Office staff in Campus or University-wide activities, including committee, special initiatives and implementation of new processes or technology.

  • Manage the Dean’s calendar, scheduling and preparation for meetings with stakeholders. Prepare and/or coordinate all briefing materials prior to meetings.

  • Collaborate with Advancement to compile the board books and take and distribute the minutes of all meetings. Prepare talking points and PowerPoint presentations as needed.

  • Manage student workers, as needed.

  • Work with the Dean to provide exemplary leadership to the Dean’s Office team, ensuring that the unit has the necessary personnel and administrative resources to successfully execute the mission of the office;

  • Serve as liaison to CUNY Central Office on matters related to the Dean’s office, public affairs, and executive communications;

  • Perform other related duties as assigned by the Dean.

All full-time and part-time CUNY staff are expected to work in-person at their campus office 70% of their work time. For full-time staff, this is equivalent to 7 out of 10 days of in-person work in a two-week period (e.g., 7 days in-person, 3 days remote). This hybrid work schedule is subject to change.

QUALIFICATIONS

Bachelor's degree and six years' related experience required.

A preferred candidate should have these additional qualifications:

  • Excellent interpersonal skills and success at building productive relationships with internal and external stakeholders.

  • Strong written and oral communication skills with the ability to transmit professional information clearly and accurately and the appropriate level of attention to detail.

  • Ability to multi-task, anticipate needs and handle shifting priorities. Strong organizational skills.

  • Commitment to the highest standards of professionalism; a team player.

Candidates must be legally authorized to work in the United States on a full-time basis. Sponsorship will not be offered for this position.

CUNY TITLE OVERVIEW

Supports a Campus or University Executive as a confidential assistant in a variety of activities and initiatives as a key team member.

  • Organizes and manages projects involving different areas of the Campus or University community, with responsibility for project outcomes

  • Represents the Executive's unit in Campus or University-wide activities, including committees, special initiatives, and implementation of new processes or technology

  • Independently carries out a portfolio of responsibilities under the Executive's purview, such as approvals, student interactions, and monitoring of key activities

  • Manages communications within and outside the unit related to areas of responsibility

  • May serve as Manager of a large Executive Office

  • Performs related duties as assigned.

COMPENSATION AND BENEFITS

$93,491 - $107,789. Salary commensurate with education and experience.
