TASK FORCE: Citywide Government Operations
UNIT: Law, Elected Officials, Administration, and Finance (LEAF)
JOB TITLE: One (1) Undergraduate/Graduate College Aide

SUMMARY:
The Mayor’s Office of Management and Budget (OMB) is the City government's chief financial agency. OMB's staff of analysts and experts assembles and oversees the Mayor’s expense and capital budgets, which fund the services and activities of approximately 90 City agencies and entities.
The Citywide Government Operations Taskforce oversees and prepares the expense and capital budgets of more than 30 agencies, offices, boards, and commissions, including the Department of Citywide Administrative Services, the Law Department, the Department of Finance, and the offices of New York City elected officials, including the Mayor’s Office.
The Taskforce’s three units prepare and monitor the expense, revenue, and capital budgets of agencies that provide centralized services to the rest of City government.
JOB DESCRIPTION:
The duties of the position include the following activities:
Monitor and expedite the progress of budget modifications and other technical exercises, ensuring compliance with approved funding allocations and cost-effective financial planning.
Use Excel formulas and pivot tables to analyze large data sets; effectively format spreadsheets for presentation and review.
Assist with the review, monitoring, and evaluation of agency-held contracts.
Assist in the preparation of annual budgets and four-year financial plans for the agencies this Unit oversees to meet mandated responsibilities and programmatic requirements.
Assist in the review of agency budget submissions related to savings proposals, agency operations, and ongoing and new projects.
MINIMUM EXPERIENCE AND QUALIFICATIONS:
Candidates must be currently enrolled in an undergraduate or graduate degree program in an accredited college or university.
Preferred Skills:
Excellent research and analytical skills.
Proficient in Microsoft Excel, including functions such as VLOOKUP/XLOOKUP, pivot tables, advanced formulas (IF/IFS/IFERROR), conditional formatting, and data analysis tools for efficient data management and reporting.
Interest in, and knowledge about, NYC government; educational or professional experience in this area is a plus.
Ability to work effectively in multiple projects simultaneously.
Ability to aggregate and synthesize information to create a clear and cohesive deliverable.
Ability to communicate clearly in writing and verbally.
Ability to learn quickly, understand the perspectives of multiple stakeholders, and approach challenges with creativity and objectivity.
Works well with others in a team setting.
REQUIREMENTS:
Graduate College Aides must be currently enrolled in a graduate program. Candidates should have strong analytical, quantitative, research and communication skills. Additionally, candidates must be proficient in MS Word and Excel
Undergraduate College Aides must be currently enrolled in an accredited college or university. Strong analytical, research and communications skills are required. Candidates must have familiarity in MS Word and Excel.
Compensation/Duration:
Graduate College Aide $19.50 per hour
Undergraduate College Aide $16.50 per hour
The position will run during the spring semester of the 2025 school year, with the possibility of extension. The role will be part-time, with a maximum of 17 hours per week when school is in session. The schedule will be worked out with the selected candidate based on availability. The work must be done during the regular workday, between 8:00 a.m. and 6:00 p.m. – no evenings or weekends.
This is an in-person position at OMB’s offices at 255 Greenwich Street
Qualifications
For Assignment Level I:
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school.
For Assignment Level II (Information Technology):
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or closely related field, including or supplemented by 9 semester credits in an acceptable course of study.
For Assignment Level III (Information Technology Fellow):
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or other area relevant to the information technology project(s) assigned, including or supplemented by 9 semester credits in an acceptable course of study. Appointments to this Assignment Level will be made by the Technology Steering Committee through the Department of Information Technology and Telecommunications.
SPECIAL NOTE
Maximum tenure for all Assignment Levels in the title of College Aide is 6 years. No student shall be employed more than half-time in any week in which classes in which the student is enrolled are in session. Students may be employed full-time during their vacation periods.
