Description
The Program Office (https://www.chq.org/schedule/performing-visual-arts/concerts-and-entertainment/) brings artist and creator visions to life by providing behind-the-house support for events and programs. There are multiple events each day, including music and orchestral productions, visual presentations, special functions, lectures, conferences, and meetings. Last-minute changes are part of the daily work routine. Shift start times vary from 12:00 a.m. to 12:00 p.m.
About Your Compensation
Compensation for this position starts at $18.00/Hour, and with demonstrated experience and qualifications, candidates may earn up to $20.00/Hour.
About Your Work Day:
Lead weekly meetings with the Chautauqua Ambassador Drivers to ensure smooth operations and address concerns.
Gather, confirm, schedule, and coordinate all travel details using Excel documents to maintain accurate records.
Collaborate with Program departments to coordinate, assign, and oversee the team of drivers, ensuring efficient and effective service.
Be available for emergencies during non-business hours (24/7) to provide support and resolve issues as they arise.
Manage work responsibilities using an assigned Chautauqua Institution cell phone.
Key Responsibilities:
Serve as the primary point of contact for travel coordination, ensuring all details are accurately communicated and executed.
Utilize technology to monitor and adjust travel plans based on real-time updates, including weather conditions and flight schedules.
Maintain clear and organized records of all travel arrangements and driver assignments.
Provide exceptional support to the Chautauqua Ambassador Drivers, fostering a positive and collaborative work environment.
Ensure a high standard of service and professionalism in all interactions with guests and staff.
Qualifications:
Strong organizational and communication skills.
Proficiency in Excel and other relevant software.
Ability to work independently and handle emergencies with composure.
Flexibility and adaptability to changing circumstances.
Previous experience in travel coordination or a related field is preferred.
About the Referral Program
Chautauqua Institution’s Referral Bonus Program (https://www.chq.org/wp-content/uploads/2022/03/Referral-Bonus-Program-3-8-22.pdf) is a talent solution to recruit, develop, and retain a diverse workforce that encompasses all the skills and experience necessary to deliver on our goals and objectives. Chautauqua Institution will provide a $500 referral bonus (less taxes) for active employees referring a new candidate who is hired and remains employed for at least 90-days from the first physical date of work. In the case of seasonal positions working less than 6-months, the new candidate must remain actively employed for at least 30-days from the first physical date of work and until the closing date of the season. The closing date of the season is the last Sunday in August.
About Your Schedule
Chautauqua Institution and Chautauqua Hotel Company offer flexible schedules, full and part-time, for seasonal employment during summer operations starting annually each June and concluding in August. Seasonal employment may be available earlier (pre-season) and beyond season (post-season) based on business needs and candidate availability. Schedules typically include evenings, weekends, and/or holidays as a requirement.
While you will confirm your final schedule with management at the time of an interview and offer of employment, you should generally anticipate the following schedule options for this position:
Will be scheduled to work an average of 25 to 35-hours/week. Scheduled hours are generally Monday-Friday between 9:00 a.m. to 4:30 p.m. Work hours may include nights, weekends, and holidays, based on business needs.

Housing is not an option for many positions and may be of a cost to you.
